Converting a PDF to Word keeps its formatting best when the PDF was created from a text document, such as a Word file exported to PDF. Scanned pages, multi-column layouts and complex tables are where formatting usually breaks. This guide explains why, how to check your file first, and which free method suits each kind of document.
Why formatting changes when you convert a PDF
A PDF records where each piece of text and each line sits on the page. It usually does not record which lines form a paragraph, a table cell or a column, so any converter has to work that structure out again. Microsoft's own guide to opening PDFs in Word says conversion works best with files that are mostly text, and lists tables with cell spacing, footnotes and graphics-heavy pages among the things that may not convert well.
Step 1: Check what kind of PDF you have
Open the PDF and try to select a sentence with your mouse. If you can highlight individual words, it is a text PDF and converts well. If the whole page behaves like a picture, it is a scanned PDF; the text has to be read with OCR (optical character recognition) first, and OCR recreates the words but not the exact original layout.
Method 1: TooliFyra PDF to Word (free, in your browser)
The PDF to Word converter rebuilds a real, editable .docx file. It keeps paragraphs, detects headings from the font size, and carries over bold and italic text and bulleted or numbered lists. Pages without a text layer are read with OCR in the language you choose, including Hindi. The file is processed on your own device rather than uploaded to a server.
- Open the PDF to Word converter and choose your PDF.
- If the PDF is scanned, pick its language for OCR.
- Click Convert and wait for the pages to be processed.
- Download the .docx file and open it in Word or Google Docs.
- Check headings, lists and page breaks, then save.
It works best for letters, resumes, reports, notes and assignments. Images and complex tables are not recreated, so for brochures and table-heavy forms use Word's built-in conversion as well and compare the results. For a scanned PDF where you only need the text, the OCR PDF tool gives you a plain-text copy.
Method 2: Open the PDF directly in Microsoft Word
In recent desktop versions of Word, choose File → Open and select the PDF. Word converts it into an editable document and tries to match the original layout. It handles text-heavy business and legal documents well; expect to tidy up tables, footnotes and pages that are mostly graphics.
Method 3: Google Docs
Upload the PDF to Google Drive, then right-click it and choose Open with → Google Docs. Google reads the text, including text in many scanned pages, but the result focuses on the words rather than the layout, so expect simpler formatting.
Which method should you use?
| Your PDF | Best first choice |
|---|---|
| Resume, letter, report or notes (text PDF) | TooliFyra PDF to Word or Word's File → Open |
| Scanned page or photo of a document | TooliFyra PDF to Word (with OCR) or Google Docs |
| Brochure with many images | Word's File → Open, then fix the layout |
| Large tables of numbers | PDF to Excel instead of Word |
Tips to keep the formatting you need
- Ask for the original file. If someone sent you a PDF of their own Word document, the original .docx will always be more accurate than any conversion.
- Use a clean scan. For scanned documents, a straight, well-lit scan at about 300 DPI gives OCR the best chance.
- Fix styles, not individual lines. After converting, apply Word's Heading and Normal styles so spacing and the table of contents work properly.
- Send the final version as PDF again. When you have finished editing, convert Word back to PDF so the layout stays fixed for the reader.
Frequently asked questions
Can any converter keep a PDF's formatting perfectly?
Not for every file. Because most PDFs do not store paragraph, column or table structure, every converter has to rebuild it. Text-heavy PDFs come close; complex layouts usually need some manual fixing.
Why does my converted document have no text, only images?
The PDF was probably scanned. Use a converter with OCR so the words are recognised as text.
Is it safe to convert confidential PDFs online?
Check whether the tool uploads your file. TooliFyra's PDF to Word converter processes the PDF in your browser, so the file is not sent to a server.
